Privacy Policy

We collect the following categories of data:

• Account information — your name and email address, provided through our authentication provider when you sign up.
• License & profession details — the credentials, states, license numbers, issue/expiration dates, and license types you enter.
• Continuing education records — course titles, providers, hours, categories, completion dates, and notes you log.
• Uploaded documents — certificates and related files you upload (as images or PDFs), which we store to associate with your credits.
• Payment information — handled by our payment processor. We receive subscription status and customer identifiers, but not your full card number.
• Usage & device data — basic logs, cookies, and similar technologies needed to keep you signed in and to operate, secure, and improve the service.

• To provide the core service: tracking your licenses, CE credits, and compliance status.
• To process uploaded certificates and pre-fill credit entries.
• To send you account, deadline, and renewal notifications you've opted into.
• To process subscriptions and billing.
• To secure the service, prevent abuse, debug, and improve features.
• To respond to your support requests and rule-issue reports.

We do not sell your personal data. We use your CE and license data to operate the product for you, not to advertise to third parties.

We share data only with service providers that help us run certification.app, under contracts that limit their use of it. These include our hosting and database providers, authentication provider, file/blob storage, payment processor, and email delivery provider. We may also disclose data if required by law or to protect rights and safety. If we have a service provider for AI-assisted certificate reading, the relevant document content is processed by that provider solely to extract credit details for you.

Your data is stored with cloud infrastructure providers (database, file storage, and hosting), which may process and store information on servers located in the United States and other countries. We rely on these providers’ security and compliance programs and apply access controls on our side.

We retain your data for as long as your account is active and as needed to provide the service. A working record of continuing education is often valuable for years (for example, during a board audit), so we keep CE history until you delete it or close your account. We may retain limited records longer where required for legal, tax, or security reasons.

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can:

• Edit your license and CE entries directly in the app at any time.
• Request a copy (export) of your data, or request deletion of your account and associated data, by emailing support@certification.app.
• Manage notification preferences in your account settings.

We will verify your request and respond within the timeframe required by applicable law. Deleting your account removes your licenses, credits, and uploaded certificates from active systems; backups are purged on a rolling schedule.

We use industry-standard measures to protect your data, including encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work to protect your information and to notify you of incidents where required.

certification.app is intended for licensed professionals and is not directed to children under 18. We do not knowingly collect personal data from children.

We use cookies and similar technologies that are necessary to keep you signed in and to operate the service, plus a limited set to understand usage and improve the product. You can control cookies through your browser settings, though some features may not work without them.

We may update this policy from time to time. We’ll revise the “last updated” date above and, for material changes, provide additional notice where appropriate.
